Business assumptions

The system was to enable current records, employee settlements, employment management, payments, settlements with ZUS and US, as well as an inventory of accommodation and employee transport. The goal was to create a system that would be easy to use, effective and compatible with the variety of issues it was supposed to answer.


Stakeholders

One of the key stakeholders of the project was the client's team of accountants and HR, who were responsible for payment management, settlements with ZUS and US, and financial reporting. Their acceptance and satisfaction with the system was crucial to the success of the project.

Process


1. Product Discovery

I started by conducting research on user needs and expectations through interviews and analysis of existing employee management systems

I conducted team workshops to define business goals and system users, which allowed us to better understand the context of the system and user needs.

I used techniques from the field of CJM to define the entire workflow process on the example of an employee hired to work in the client's organization. This allowed us to define all scopes, which were then designed for UX and UI


2. UX/UI Design

Based on the research results, I created user interface prototypes, focusing on transparency, intuitive navigation and aesthetic design.

For example: one of the designed functionalities allowed the employee to be identified by the MRZ code reader system from the passport (this was the only document used by foreign employees)

I developed a design system that ensured consistency of the interface in different parts of the system and made it easier to scale and maintain the system in the future.


3. Testing and Iteration

I conducted usability tests with real users, including a team of accountants, to gauge reactions to the interface and gather feedback on any issues.

Based on the test results, we made iterative improvements to the interface, adapting it to the needs and preferences of users.


4. Cooperation with the development team

During the UX/UI design process, I communicated regularly with the development team to ensure consistency between the designed interface and its implementation.


5. Implementation

After accepting the final design, we started implementing the system, taking into account all defined functions and requirements.
